I don't quite understand how "cataloging" works... Could someone explain?

you pick an item up, then drop it. By holding an item in your inventory, even for a short period of it, you unlock the item and it gets added to your stores catalog. Thus: it is a way to share items with friends, without having to buy them and give as gifts.

While all items can be cataloged, not all items can be ordered, however. But, for the items that can be ordered, you simply go to your in game store, pull up the catalog and place an order for it. You get it in the mail in about a day!
